Position Overview

We are seeking a motivated and detail-oriented Project Admin and Compliance Volunteer to support our Himilo department in administrative tasks and compliance monitoring. This role is essential for ensuring that our projects operate smoothly and adhere to the necessary regulations. This volunteer position is ideal for individuals looking to gain hands-on experience in project administration within a community-focused environment.


Purpose of the Role

This role is essential in ensuring that our projects remain effective, compliant, and well-documented, ultimately enhancing the quality of support provided to refugees and migrants.


Key Responsibilities

· Project Management:

o Support in monitoring and tracking project timelines against performance

o Support in tracking project performance against key performance indicators (KPIs) and compliance standards.

o Assist in identifying, documenting, and escalating/flagging project risks while working with relevant stakeholders to implement mitigation strategies

o Manage partner and course referrals by maintaining accurate records and ensuring effective communication between stakeholders.

o Collaborate with internal teams and external partners to facilitate smooth referral processes.

o Support with project promotion and outreach effort managing engagement and communication plan.

o Assist in organizing and scheduling training sessions, workshops, or other capacity-building initiatives within the department."


· Compliance Monitoring:

· Help track project compliance schedules, deadlines, and timelines to ensure timely completion of tasks.

· Maintain and manage project documentation and communications.

· Review project documentation and activities for compliance with organizational policies and external regulations.

· Assist in preparing compliance reports and facilitate internal audits.

· Data Management:

Maintain and update project spreadsheet and tracking systems.

· Collect, analyze, and report on data related to project performance and compliance.

· Communication:
Collaborate effectively with team members to ensure seamless communication regarding project updates and developments.


Qualifications

· Strong organizational and time management skills.

· High attention to detail and a commitment to maintaining accuracy.

· Good written and verbal communication skills.

· Familiarity with project management tools and compliance standards is an advantage.

· Proficiency in Microsoft Office Suite (Word, Excel, SharePoint and PowerPoint). Experience in advanced Excel is advantageous.

· Experience in data management or compliance-related work.

· Knowledge of GDPR or other regulatory compliance frameworks.

· Ability to work independently and collaboratively within a team setting.
